Job Objective

This entry-level position combines front-desk, administrative, client-service, and human resources responsibilities.

The Coordinator provides day-to-day support to the Client Services and HR teams, serving as a resource and triage point for client and employee questions and directing inquiries to the appropriate team member when additional expertise is required. The position will develop a broad working knowledge of HR functions, including benefits, payroll, taxes, risk management, onboarding, employee relations, PTO, hiring, and terminations.

Duties & Responsibilities

Client Service & Front Desk

  • Serve as the first impression and welcoming presence for KEENA.
  • Greet and assist clients, client employees, visitors, and vendors in a professional and friendly manner.
  • Answer and direct incoming telephone calls and inquiries.
  • Provide initial triage and assistance to clients and client employees, determining the appropriate KEENA resource to address their needs.
  • Provide exceptional, professional, and responsive client-facing service.
  • Maintain a positive and professional image of KEENA in all interactions.
  • Support Client Account Managers and other KEENA team members with client-service needs.
  • Assist with client and employee communications and follow-up as directed.
  • Represent KEENA professionally at select community events, meetings, and functions.

Human Resources Support

  • Provide support to the Client Services and HR teams.
  • Develop a general knowledge of all key areas within the HR function.
  • Assist with new-hire onboarding and employment documentation.
  • Maintain accurate and organized employee documentation and personnel records.
  • Assist with maintaining onboarding paperwork, employee counseling documentation, termination documentation, and other HR records.
  • Assist Client Account Managers and HR team members with routine employee and client requests.
  • Escalate questions or issues appropriately when they require additional HR expertise or decision-making.
  • Maintain confidentiality and exercise sound judgment when handling sensitive employee and client information.
  • Assist with special HR projects and initiatives as assigned.

Office & Administrative Support

  • Coordinate routine office needs to ensure a professional and functional work environment.
  • Coordinate office cleaning and other routine facility services.
  • Troubleshoot basic office equipment issues and coordinate repairs when needed.
  • Assist with preparing workspaces and equipment for new KEENA employees.
  • Support the setup and onboarding of new clients and employees.
  • Assist with general administrative projects and organizational needs.
  • Work collaboratively with all members of the KEENA team to support the successful operation of the organization.
  • Process reports for clients and the Keena team.
