Common Questions About Working With a PEO
Considering a PEO or new to the co-employment model? You’re not alone. Many small and mid-sized business owners want to know how the process works, what changes for their employees, and whether they truly stay in control. These FAQs were designed to answer those questions clearly and practically. Here’s what you can expect when partnering with KEENA, and how we make the experience simple, supported, and predictable.
What does the transition from our current provider to a PEO look like?
Making the switch is easy! We guide you through a structured, step-by-step transition designed to minimize disruption for you and your employees. Our team handles the heavy lifting, including data migration, setup, timelines, and coordination, while keeping you informed along the way. We align on key dates, including your first payroll and benefits effective dates, so there are no surprises. Most clients find the process smoother than expected because it’s planned and supported from day one.
Do I lose control of my employees if I work with a PEO?
Simply put, no. Your business retains full control over hiring decisions, day-to-day management, compensation, and company culture. Co-employment simply means we share certain employer responsibilities related to HR administration, compliance, and payroll. You continue to run your business; we help support and protect it. Think of it as added expertise behind the scenes, not interference.
What HR responsibilities does the PEO take on vs. what stays with me?
We support core HR functions like payroll processing, tax filings, benefits administration, workers’ compensation, and HR compliance guidance. You remain responsible for managing your employees, setting expectations, and making business decisions. Our role is to handle the administrative and regulatory burden so you can focus on running your company. The responsibilities are clearly defined so there’s no confusion.
What kind of support can we expect after we become a KEENA client?
You’re supported by real people who know your business, not a call center. Our team stays actively involved beyond onboarding, helping with questions, changes, and everyday HR needs as they come up, as well as having a recurring meeting with your dedicated Client Account Manager. We focus on being responsive, proactive, and easy to work with. Clients often tell us this ongoing support is what sets KEENA apart.
How does payroll actually work once we’re live?
Payroll runs through a consistent, scheduled process with clear deadlines and review steps. You submit your payroll information through our online timesheet, we review and calculate, before sending it back to you for a final approval. Then we’ll process, and handle tax filings and payments on your behalf. Our team is available to answer questions or assist with changes as needed. The goal is accuracy, consistency, and less stress each pay period.
Will my employees notice changes to their pay, benefits, or experience?
Employees may notice improvements, such as access to stronger benefits and better tools, but their day-to-day work experience stays largely the same. Pay schedules, reporting relationships, and job responsibilities do not change. We provide communication and support to help employees understand what’s new and where to go for help. The transition is designed to feel seamless from their perspective.
How easy is your system for managers and employees to actually use?
Our platform is designed to be intuitive and practical for everyday use by managers and employees. We provide training and ongoing support so users feel confident navigating the system. Dashboards and tools can be customized to fit your workflows and reporting needs. The goal is to make HR tasks easier, not add complexity.
How are PEO fees structured, and what am I really paying for?
Our admin fee includes everything from payroll processing, tax administration, HR support, benefits administration, and access to our technology and expertise. Pricing is transparent and reviewed upfront so you understand what’s included in a Per Employee Per Month billing structure. Rather than paying for multiple vendors, services are bundled into a single solution. Many clients find this creates both cost savings and predictability.
Can you work with our existing benefits, broker, or advisors?
Yes, when possible, we aim to work collaboratively with your existing partners. We understand the value of established relationships and will review options to see what can be maintained or integrated. In some cases, changes may be required to align with the PEO structure. We walk through those details together so you can make informed decisions.
What does onboarding look like, and how long does it take to get up and running?
Onboarding includes system setup, data collection, benefits enrollment, and training for your team. We establish a clear timeline through our implementation schedule and assign support to keep everything moving toward your targeted go-live date. Most implementations are completed within a defined timeframe (4-6 weeks) based on your needs and complexity. Throughout the process, we stay in close communication to ensure a smooth launch.
